Car Bar SCAA Artist Showcase
Instructions for artists
SCAA has been invited to collaborate with Caf Bar for a seasonal artist showcase and all current members are invited to participate. This is an incredible opportunity for visibility, community connection, and direct sales.
Each rotation will have nine artists. Shelves will be provided for (8) 3D artists and walls for (1) 2D artist. Each artist will display their work and sell it directly to the Caf Bar customers at their Wakefield location (396 Main St, South Kingstown, RI 02879).
We recommend visiting the Caf Bar to get a good idea of the space, especially for 2D artists.

8 shelves are available to put your work on - 3D work such as mugs, bowls, or other mediums. No jewelry. Each artist will have one designated shelf.
1 additional 2D wall artist (separate wall display space)
The Caf Bar will take a 10% commission.
WHAT EACH ARTIST NEEDS TO PROVIDE
To help this collaboration run smoothly, please understand that SCAA is not managing installation or individual artist needs beyond providing signage, setting up,drop-off and pickup days/time, and coordinating who will participate in each rotation. Caf Bar staff will assist with checkout only and a manager will facilitate the pickup/commissions.
Requirements to Participate & Process
1. You must be a current SCAA member for the whole rotation and sign up to participate using the SignUp that’s provided. It’s first-come, first-served. You also need to have a Venmo account. You are also responsible for
2. You’ll drop off your work on the predetermined day and time. You’re responsible for your own setup, display, and labeling. Represent yourself with your best work. No seconds or pieces with cracks, imperfections, repairs, or other flaws that may require a refund. Each piece must be original art as defined by RI state law (see end of document).
3. You will provide Caf Bar with a copy of a detailed inventory list including:
Title and/or description of each piece
Price
Medium (if applicable)
4. There must be a Venmo QR code label on each piece.
5. The checkout process:
The customer will go up to the register and a Caf Bar manager or employee will assist them.
Customer scans your Venmo QR code label that’s on your piece.
The Caf Bar employee will confirm the payment went through. You are paid directly at the time of sale. This keeps things simple and ensures you are paid immediately.
6. The Caf Bar employee will mark off that your piece was purchased on the inventory sheet that you provided.
7. When you pick up your work on the predetermined day and time, you’ll coordinate with Caf Bar on paying the 10% commission owed to them through Venmo. If you fail to pick up your work, we will donate it, on your behalf, to our Annual Quality Seconds Sale.
ABOUT VENMO
In order to participate in this collaboration, artists must have an active Venmo account and label their work with a printed QR code.
If you do not have access to Venmo or are unable to create QR labels, you will unfortunately not be able to participate. This is Caf Bar’s required payment policy.
You will need to:
Create a Venmo account (if you don’t already have one)
Print your Venmo QR code
You can print small stickers or labels. Please make sure your QR code is clear and easy to scan.
Attach the QR code to each piece (sticker or small printed tag). A 1.5” x 1.5” square seems to be the smallest that works for scanning.
The customer scans your QR code on their phone and the full sales price will go directly into your account.

MARKETING
We want to create a cohesive look to the whole display and SCAA will provide marketing signage to the Caf Bar for each artist. We’ll also have Venmo checkout instructions for the customers that are clear to make it as easy as possible to purchase your work. Both Caf Bar and SCAA will promote you and your work on social media.
Before your dropoff date, you’ll need to submit to SCAA:
Short bio (1 paragraph)
A photo of yourself
Your social media links.
COMMISSION
At the end of your 3-month rotation, you will pick up any unsold work on a set day between 1-2pm. At pickup you’ll:
Review your inventory with a manager and Venmo Caf Bar 10% of your total sales.
Please give yourself enough time to pack up, pay the commission, and leave before their closing time at 3pm.

ORIGINAL ART DEFINITION
To sell your artwork tax-free you must follow RI state law which covers original and creative works, either one-of-a-kind or limited edition. These works must not be consumable or created for commercial or industry-oriented production. A work includes: a book and other writing; painting, print, photograph, or drawing; sculpture; traditional and fine craft. Crafts can be functional or nonfunctional.
Limited edition means the creation of a self-published solitary work, conceived and produced by the artist under their direction, which is intended for limited reproduction. The reproduction must total no more than 300 copies and must be physically signed and numbered by the artist. This can include books, giclée prints and photographs.
All works must not be consumable, so things like candles, soap, and plants are not eligible for the exemption.
SALES TAX PERMIT
You will need to apply for and receive a sales tax permit from the state of Rhode Island. Any entity, including individual artists and nonprofits, making retail sales in the state is required to obtain a permit. Once you receive your sales tax permit, you will fill out the Application for Sales Tax Exemption for Artistic Works. Rhode Island has a sales tax exemption for certain artistic works, so anyone with the exemption does not have to charge sales tax on sales made within the state. You must apply for the sales tax exemption, and any entity making retail sales in Rhode Island is subject to sales tax. This is in addition to your Sales Tax Permit.
